Excel to PDF

Turn an Excel workbook into a PDF laid out as Excel prints it: each sheet's paper, orientation, scaling, margins, print area, repeated titles and page breaks, its header and footer, and the cells as Excel shows them, with their number formats, fonts' colours, bold and italic, fills, borders and wrapped text. The workbook is read inside your browser.

Excel to PDF

or drop it here. The file stays on this device.

How it works

  1. Choose or drop an Excel workbook (.xlsx or .xlsm).
  2. Tick the sheets to convert. Change the paper, orientation, size or gridlines only if you want something other than the workbook's own page setup.
  3. Press Convert to PDF and download the PDF.

Questions

Is anything uploaded?

No. The workbook is read and the PDF is made inside your browser, and your file stays on your device. The first time you choose a workbook, the page downloads its workbook reader (SheetJS, 280 KB, 86 KB as sent) from this site; Chinese text also needs this site's Chinese font.

What does the PDF keep from my workbook?

Each sheet's page setup: paper size (A4, A3, A5, Letter, Legal or Tabloid; a size this tool does not know prints on A4, and the page says so before you convert), orientation, scaling (a percentage, or fit to a number of pages wide and tall, never smaller than 10 %, as in Excel; a sheet that does not fit those pages even at 10 % prints on as many as it takes, and the result says so), margins, centring on the page, print area (a sheet's separate print areas each print on pages of their own, as in Excel, and fitting to pages fits each of them), rows and columns repeated on every page, manual page breaks, the order of the pages, gridlines when the sheet is set to print them, and its header and footer (text, page numbers, the sheet's and the file's name, the date). The cells keep their values as Excel shows them (number formats, dates, red negative numbers), their fonts' bold, italic, underline, strikethrough and colours, and their sizes in proportion (11 pt text at 9.5 pt, so that Helvetica takes the width Excel's Calibri takes), fills (a patterned or gradient fill as one even colour mixed from its colours), borders (diagonal ones too), alignment, wrapped text and merged cells, and the columns' widths and rows' heights. Hidden rows, columns and sheets are left out.

What is not in the PDF?

Charts, pictures and shapes; conditional formatting; the patterns and gradients of fills, each printed as one even colour mixed from its colours; text turned in its cell, which is printed level; words in one cell in different fonts, which take the cell's own font; comments; tab stops in a cell's text, a tab printing as one space; and the fonts themselves: Latin text is set in Helvetica, 11 pt text at 9.5 pt and every size in that proportion, so that it takes the width Excel's Calibri takes, and Chinese in Noto Sans CJK; a line of wrapped text can still break a little differently than in Excel. Before you convert, the page names the sheets that have charts, pictures or shapes.

Are formulas calculated again?

No. Each cell shows the value saved with the workbook, as Excel last calculated it. Some programs that write workbooks leave the formulas' results out; those cells print empty, the page lists them, and opening the workbook in Excel and saving it writes the results.

Which files can it read?

Excel workbooks in the .xlsx or .xlsm format, up to 50 MB; macros are not run. An older .xls workbook, an .xlsb, an OpenDocument .ods or a Numbers file is refused with the way to save it as .xlsx. A workbook that needs a password to open cannot be read: remove the password in Excel first.

How large a workbook can it convert?

Up to 200,000 cells with something in them and 1,000 pages in one PDF. Beyond that the page asks you to choose fewer sheets, set a print area in Excel, or fit the columns to the page width.

Can I choose which sheets to convert?

Yes. Every sheet with something in it is listed and ticked, except sheets hidden in Excel, which you can tick to include. Each sheet starts on a new page, in the workbook's order.

Can it convert Chinese text?

Yes. Chinese is drawn with the Noto Sans CJK font this site serves, downloaded only when the workbook's text needs it (Chinese, or another character the PDF's built-in fonts cannot draw, such as a Greek letter): 2.3 MB for common characters, the full 21.7 MB font only when rarer ones are used. A character none of the fonts can draw, such as an emoji, is printed as ? and named on the page.

Is my file uploaded?

No. The page loads a PDF engine into your browser and every operation runs on your device. You can check this yourself in the browser's network panel: after the page has loaded there are no upload requests. Closing the tab discards the file.

Do I need an account or to pay?

No. These basic tools are free and never add a watermark. The only limits are the tool's own: workbooks up to 50 MB; up to 200,000 cells and 1,000 pages in one PDF; values as last saved in Excel. Within them, the practical limit is your device's memory.

What about password-protected workbooks?

A workbook that needs a password to open cannot be read here: the tool says so as soon as you choose it and converts nothing. Open it in Excel, remove the password (File, Info, Protect Workbook, Encrypt with Password, then clear the password), save it, and choose that file.

What does this page keep in my browser?

Nothing you open or type. While the tab is open, the tool pages keep a short list of the steps taken in it, in the tab's session storage: the step (page opened, started, succeeded, first success, used again or failed), the tool's name, the time, how many files were used and, for a failure, an error code; never a file name, the contents of a file or your text. It holds at most the latest 200 steps, and the browser deletes it when the tab closes. The page never sends it. Where a Report a problem button is shown, you can attach the last 20 steps to your report; nothing is attached unless you tick that box. In local storage the page keeps only choices you made: a Light or Dark theme until you choose System again, the language you picked with the EN / 中文 switch if it differs from your browser's language, and this tool in your recently used list if you switched that list on at the tools page.
