Make a quote or an invoice

Say who it is from and who it is for, add the lines, and the sums beside the form follow as you type: discounts, options, tax for each rate and a deposit, exact to the cent. Download a clean PDF and a CSV. The document is made on your device and never uploaded, and its number comes from your own numbering.

Quote and Invoice Maker

How it works

  1. The form is in five sections - the document, money, who, lines and on the whole; on a phone one is open at a time, each closed one saying in a line what it holds, with Next and Back. Choose a quote or an invoice, the currency and how numbers are typed, then say who it is from and who it is for. A new document starts in the currency of your device's time zone where the page knows it (SGD in Singapore, EUR in Berlin), otherwise in USD. Type the document's number from your own numbering, or leave it empty: the document then says Draft. To go on with an earlier document, open its saved file.
  2. Add the lines: a description, a quantity and a unit price, and where needed a discount and a tax rate. On a quote a line can be an option, which counts only when it is chosen. Add a discount on the whole or a deposit if there is one; the sums beside the form (after it on a phone) are exact as you type.
  3. Press Download the PDF or Download the CSV. To go on later, press Save the file, or tick Keep this document in this browser and it is kept as you type, on this device only.

Questions

How are the totals computed?

In whole units of the currency's smallest unit (cents for dollars, whole yen, thousandths of a dinar), with exact fractions in between and never a floating-point sum: 0.10 and 0.20 add up to exactly 0.30, and 1.005 rounds to 1.01. Rounding happens only at the places named here, a half away from zero: each line (quantity x unit price, less its discount), a percentage discount on the whole, the tax (once for each rate, or line by line, as you choose), and a percentage deposit. A discount on the whole is shared over the lines in whole cents that add up to it exactly.

How do I type numbers?

With a decimal point or a decimal comma, whichever you chose at the top of the form. Thousands may be grouped in threes: 1,234.50, 1 234.50 or 1'234.50 with a decimal point, 1.234,50 with a decimal comma. A discount or a deposit is a percentage such as 10%, or an amount such as 25.00. A currency sign or code, brackets or an exponent in a number are refused, and so is a number such as 1,5 when the decimal mark is a point: the page names the field instead of guessing what was meant.

What can it do with tax, and what not?

Each line has its own rate, from 0 to 100 percent, and the document shows the tax of every rate on its own. You choose whether the prices you type include tax, and whether tax is rounded once for each rate or on every line; the two can differ by a cent, and which one your tax office asks for is yours to know. The page knows no country's rules: it does not decide which rate applies, does not check a tax number, and an invoice made here is not an e-invoice in any official format.

Does the page number my quotes and invoices?

No. It never makes a number: you type your own, from your own numbering, and a document without one says Draft in its place. An invoice needs its number before it can be issued. Whether a number was used before is something this page cannot know, because it keeps no list of your documents.

What is kept, and where?

Nothing of your document, unless you tick Keep this document in this browser. While the box is ticked, the document you are writing is kept in this browser, on this device, as you type: it is still there after the tab was closed, and what you type while the device is offline is kept too. It is never sent anywhere and no other device sees it. Untick the box and what was kept is removed; Start again puts an empty document in its place. One document is kept at a time: to keep several, or to move one to another device, save the file and open it again. With the page open in two tabs, the tab typed in last has the kept document and the other one says so. A credit note is kept once it has been added, not while it is being written. A browser keeps only so much: a document too large for it (many credit notes with long lines) is not kept, the page says so, and saving the file is the way.

What happens when an invoice is issued?

It is locked: the form takes no more edits, and the file holds a fingerprint of the invoice as it was issued. To correct it, write a credit note, which stands beside the invoice with its own number, date and reason and cannot take back more than is left of the invoice. When the invoice took a discount off the whole, a credit note takes it too, in the same share of its own subtotal (unless you untick that). A note of the whole invoice gives back its total exactly. A partial return gives back what was paid for it up to rounding: the invoice shared its discount over its lines in whole cents (the currency's smallest unit), and each note rounds its own share of the discount to the cent, so a note can give back a little more or less than its lines were charged, up to about a cent for each line it returns, and notes that return the lines one by one can leave cents in the net. To give back an exact amount, untick that and type the note's own discount. Or void it, which keeps the invoice and marks it void. The PDF and the CSV show the invoice as it was issued, what each credit note took off, and the net. A saved file whose issued invoice was changed afterwards is refused when it is opened. The lock guards against mistakes, not against intent: the file is yours, on your device, and nothing here is signed by anyone else.

Which characters can the PDF show?

Latin, Chinese, Japanese and Korean are supported using bundled PDF fonts. Unsupported characters are named before export and are never silently dropped. Chinese, Japanese and Korean text uses Noto Sans CJK; it is downloaded from this site only when needed. The CSV and saved file preserve every character.

Can a link fill in the form?

Yes, the fields of one line and the choices; not the addresses, the notes and the terms, which are text boxes. The page's address carries them, best after a # so that they reach no server: /tools/quote-maker/#qm-type=invoice&qm-currency=EUR opens an invoice in euros. A link fills in an empty form only. It never changes a document that is kept in this browser or an invoice that was issued, and it cannot untick the box that keeps the document; the page says which settings of a link it did not take.

What does this page not do?

It works on one document at a time, on your device. Sending the document, links for customers and their acceptance, payments, reminders, official numbering, roles and importing customers or items are not part of this page.

How are language fonts loaded?

A Latin document uses small built-in fonts. Text needing Chinese, Japanese or Korean loads a Noto Sans CJK font from this site, on demand, then embeds only the glyphs used. Common Chinese (the 7,445 characters of GB2312, its 6,763 Chinese characters and 682 symbols such as ①, ℃ and →, with Chinese punctuation and full-width forms) needs only the common-Chinese font, 2.3 MB once; any other Chinese, Japanese or Korean character loads the full font instead, about 22 MB once. No document text is uploaded. Unsupported characters are reported. Load the font your text needs before disconnecting if you need multilingual output offline.

Is anything uploaded?

No. The page loads a small script into your browser and every calculation runs on your device. You can check this yourself in the browser's network panel: after the page has loaded there are no upload requests. Language fonts may be downloaded from this site when needed. Of what you enter, one thing is kept, in this browser on this device and nowhere else: the document you are writing, and only once you tick Keep this document in this browser; untick it and what was kept is removed.

Do I need an account or to pay?

No. These basic tools are free, and nothing you enter is stored on a server. The only limits are the tool's own: 200 lines in a document and 50 credit notes on an invoice; amounts of up to 12 digits, cents included; 38 currencies; PDF fonts support Latin, Chinese, Japanese and Korean; unavailable glyphs are reported.

What does this page keep in my browser?

Of what you open or type, only what you chose to keep: the document you are writing, and only once you tick Keep this document in this browser; untick it and what was kept is removed. While the tab is open, the tool pages keep a short list of the steps taken in it, in the tab's session storage: the step (page opened, started, succeeded, first success, used again or failed), the tool's name, the time, how many files were used and, for a failure, an error code; never a file name, the contents of a file or your text. It holds at most the latest 200 steps, and the browser deletes it when the tab closes. The page never sends it. Where a Report a problem button is shown, you can attach the last 20 steps to your report; nothing is attached unless you tick that box. In local storage the page keeps only choices you made: a Light or Dark theme until you choose System again, the language you picked with the EN / 中文 switch if it differs from your browser's language, and this tool in your recently used list if you switched that list on at the tools page.
